Another type of task that is a good candidate for automation is one where there is a high risk of human error. Tasks such as copying data from a spreadsheet to a management system, calculating amounts, or checking whether certain fields are complete are activities that often lead to errors due to carelessness.
Another area where this is particularly well-suited is notifications and follow-ups. It’s very easy for a company to set up automatic alerts when an order is delayed, an invoice is past due, or a metric deviates from expected values. Furthermore, these controls can be supplemented with additional actions that can add even greater value to the automation.
Finally, we can highlight report generation as another area that typically yields a faster return on investment. If the source of the information is unreliable, or if the data is incomplete, duplicated, or stored without a consistent standard, it is also advisable to exercise caution. Automation will simply transfer these problems to other systems, so it is important to keep in mind that data quality is essential for any project to function properly.
How to Decide Whether a Process Should Be Automated
The simplest way to evaluate the potential for automation is to analyze these four aspects: frequency, time, errors, and stability. The more often a task is repeated, the more time it takes, the more errors it generates, and the more numerous and clearly defined its steps are, the greater its potential for automation.
It’s also important to calculate the expected impact. A short task that takes only a few minutes may seem insignificant, but if it’s repeated several times a day throughout the month, the picture changes. Conversely, a lengthy process that’s carried out only once a year may not justify the investment.
On the other hand, automation can (and should) improve traceability. The company should know what actions have been taken, when, and using what data. Has there been an incident? It should be possible to identify it quickly so that a solution can be implemented.
Finally, it is advisable to start with a specific process so you can measure the results and, from there, gradually expand the scope. Small projects make it easier to identify difficulties, adjust solutions, and demonstrate value before tackling larger challenges.
Automate effectively—not just for the sake of it
